External Funding Field in PAC

We have been working on updates to the Personnel Action Form (PAF) given recent changes to business processes. Some of the changes on the PAF will also carry over to other PeopleSoft modules like: Template-Based Hire (TBH), Visa Contract Renewal, and Ad Hoc Salary Change. Other changes will make personally identifiable information more secure. To complete these changes, the TBH and Student Hire/Rehire queues need to be cleared in the middle of May.

What’s New

1. Social Security Masked – in an effort to secure personally identifiable information for all employees, only the last four digits of an employee’s Social Security Number will print on the PAF form.
2. Check Sequence Code Removed – now that pay advices are sent to employees’ home addresses, the check sequence code is no longer used and will be removed from the printed PAF form. It will also be removed from all hire and rehire templates.
3. External Funding Field (NEW) – this is a new field in the Salary Information section of the PAF, Template-Based Hire, and Student Hire Templates. It is an optional field that should be used for employees who are on contract with a $0-salary appointment and are receiving funding not disbursed from PAC. The field should not include external funding that is paid or disbursed from PAC as salary or stipend. This is an informational field and is not required to process the hire.

This field will also be available on the Visa Contract Renewal and Ad Hoc Salary transaction pages.

Your Action is Required

Because the structures of the templates are changing, all Template-Based Hire and Student Hire transactions must be processed or cleared from the queue. As has been done in the past, all hire and rehire transactions in process must have final approval by 5 p.m. on Friday, May 9, 2025, to be processed before the module downtime. Any TBH or Student Hire transactions that are still in the queue (including draft status) that have not received final approval by Friday, May 9, at 5 p.m., will be deleted and will need to be resubmitted by the department after the PAC downtime. Transaction submissions can resume on Friday, May 16, 2025.
