Important Information Regarding Work-Study Fiscal Year End Processing

As part of fiscal year-end processing, all active Federal Work-Study positions have been inactivated in PAC effective June 15, 2026. We recognize that this represents a change from prior years and appreciate your patience as we implement the new process.

The Federal Work-Study program for FY27 will begin on July 1, 2026. Additional communications regarding FY27 hiring and position management will be distributed separately.

Why is this happening?

Federal Work-Study funding is tied to the fiscal year and cannot continue indefinitely once funding is exhausted. This year, the official program end date was June 14, 2026.

Departments that intend to continue employing students past the program end date may do so as Student Casual employees, with payroll expenses charged 100% to the department's institutional account.

What Departments Need to Know

  • Students who continue working after the June 14, 2026 Federal Work-Study program end date will be converted centrally to Student Casual positions effective June 15, 2026 to allow continued payment through the end of the fiscal year.
  • Not all Work-Study students will be converted. Only students with time entered into TLAM after June 14, 2026 will be transitioned to Student Casual positions.
  • The conversion will be completed centrally. No action is required from departments for existing active students.
  • Payroll expenses incurred after the fiscal year-end conversion will be charged 100% to the department's institutional account.
  • Students should continue submitting time as instructed.
     

Missed Timesheets

Students may only enter time for a limited number of prior payroll periods through TLAM.

If a student is unable to enter time because the submission window has closed:

  • Department Administrators must complete a Time Entry Form (TEF) for the student.
  • The completed TEF should be submitted through the MSS Paper Transaction Module for processing.
     

What Happens Next?

Departments wishing to employ students through the FY27 Federal Work-Study program will continue to use the normal Work-Study hiring process. Students selected through JobX will continue to be transmitted to PAC through the existing interface and hired through the standard process.

The fiscal year-end conversion to Student Casual does not automatically create or reactivate a FY27 Federal Work-Study appointment. Students must continue through the normal Work-Study hiring process for the new fiscal year.
