As we continue processing academic personnel transactions for the 2026-27 academic year, the Provost’s Office of Academic Appointments and the Human Resources Processing Center (HRPC) are writing jointly to reinforce the importance of following the deadlines outlined in the Columbia University Pay Calendar.
Whether you are a newer administrator learning the workflow or an experienced colleague navigating heavy transaction periods, strict adherence to these deadlines supports our shared goal of ensuring timely and accurate pay for all academic personnel.
Deadlines to Review
Please review the payroll calendar closely, paying particular attention to the following dates:
- PAF, Nomination Forms & TBH: HRPC Mail Closing Date
- Labor Accounting Add Comp: Department Administrator Deadline
Why the Departmental Deadline Matters
Please note that the departmental deadline is designed to allow time for School/Dean’s office review, Academic Appointments review, and HRPC processing before payroll closes.
After departmental approval is complete, Level 2 approval by the School/ Dean’s office is still required before the transaction can route to the Office of Academic Appointments for processing.
Missing the initial Departmental Administrator deadline significantly compresses the review window for subsequent approvers. This forces the Dean’s offices, Academic Appointments, and HRPC to manage a high volume of incoming transactions in a very limited timeframe, which is highly disruptive to the processing cycle. As a result, late transactions cannot be guaranteed for the current payroll cycle and will be processed in the following cycle.
