DocuSign for Hire/Rehire Transactions

Dear Colleague,

This email is a follow up to the announcement we sent in September regarding DocuSign. CUHR is providing all hiring departments access to DocuSign at no cost to your department to manage the process of collecting hiring documents from your new hires, rehires, and reappointments.

What is New

Currently, there are four hiring templates available for use. These templates are groups of documents typically required for a hire. For example, in the casual employee hiring template you will see the casual employment form, a personal information form, tax forms, the Paid Family Leave (PFL) notice, I-9 instructions, etc.

The hiring templates currently available are:

  1. Student Officer of Research
  2. Student Officer of Instruction
  3. Casual Employee
  4. Officers of Admin, Libraries, and Support Staff

In addition to the hiring templates, each individual form is also available as an individual template in DocuSign if you want to create a custom envelope for a new hire/rehire.

We are currently building out the templates for academic hiring, and once those are complete, we will notify you.

How to Access DocuSign

If you have access to initiate or approve Template Based Hire (TBH) transactions in PAC, you have access to log into the Columbia University-CHR account in DocuSign.

  1. Go to: https://account.docusign.com/
  2. Enter your Columbia email address [email protected]
    1. Note: other versions of your email, e.g., @law.columbia.edu, or @cumc.columbia.edu will not work. You must use [email protected]
  3. You will then be prompted to authenticate using DUO
  4. If you do not already have a DocuSign account, you will automatically be in the Columbia University-CHR account
    1. If your department already uses DocuSign, you can switch accounts using the navigation in the upper-right corner of the DocuSign screen
  5. Click “Templates” from the top navigation to view all of the CUHR documents shared with you

Training

We have created two job aids to help you get started with DocuSign.

In addition, DocuSign provides a library of videos to help you use the system.

Questions

CUHR and CUIT will hold two Q&A Sessions in November, where we will demonstrate how to use your CUHR managed DocuSign account and answer any related questions. To register for either of the DocuSign Q&A sessions, simply click the date/time below that works for you and register.
